How to use the Lam Soon PSG Platform
One account opens every system. This guide covers registering, signing in, getting access, and using A3 Problem Solving, APEX and Room Booking.
Getting started
Register an account
- 1Go to the Portal home page and click Register.
- 2Enter your full name, company e-mail (must end in @lamsoon.com.my), department, Employee Number, and a password of at least 8 characters (twice). Accept the terms.
- 3Click Register. You are taken to the Verify your e-mail page.
- 4Open the e-mail “Your Lam Soon PSG Platform verification code” and type the 8-digit code. The code lasts 1 hour. If it doesn't arrive, click Resend (once every 60 seconds).
- 5Once the code is accepted you are signed in, and you automatically get APEX as an Employee. Other systems must be requested.
- 1Click Sign in on the Portal or on any system.
- 2Type your company e-mail or your Employee Number, and your password.
- 3Click Sign In. If your e-mail isn't verified yet, you are asked for the verification code first.
One sign-in covers every system. Signing out from any system signs you out of all of them.
Forgot your password
- 1On the sign-in page click Forgot password? and enter your company e-mail.
- 2Open the reset e-mail and click its link.
- 3Choose a new password, then sign in with it.
Open a system or request access
To open a system you need both active access and at least one role in it. Each card on the home page shows a button that depends on your access:
| On the card | Meaning | What to do |
|---|---|---|
| Sign in to Access | You are not signed in. | Sign in. You come back to the same system. |
| Open System | You have access and a role. | Click it, then Continue as [your name]. |
| Request Access | You have no access yet. | Click it. A Portal admin reviews the request. |
| Request Pending | Your request is waiting for an admin. | Wait, or ask a Portal admin. |
| Suspended | An admin has paused your access. | Contact a Portal admin. |
| Revoked | Your access was removed. | You may request it again. |
| Restricted | The system isn't available yet. | Nothing to do. |
| System | Roles |
|---|---|
| A3 Problem Solving | Staff, GM (Admin) |
| APEX | Employee, Reviewer, HRA Admin |
| Room Booking | Staff, Administrator |
A3 Problem Solving
The digital version of the “Apple A-3” Excel template. Staff document a problem, its causes and countermeasures on one A3 sheet, then plan and track the implementation tasks. The GM sees every report and task in one place. Reports can be exported to the original Excel template, and Excel A3s can be imported.
What each role can do
| Capability | Staff | GM (Admin) |
|---|---|---|
| See reports | Own reports (drafts and submitted) | All submitted reports |
| Create and submit a report | Yes | No |
| Edit report content | Own reports | Any report |
| Delete | Own drafts only | Any report |
| Change a due date after submitting | Request an extension | Approve or decline; correct directly |
| GM pages | No | Yes |
Someone who holds both roles gets both sets of features.
Create and submit a report
- 1On the Portal, click Open System on the A3 card, then Continue as [your name].
- 2Go to My reports and start a new report, or click Import Excel to start from an existing Excel A3.
- 3Fill the header (theme, department, date, president, vice president, manager) and the A3 sections, from Problem situation through Countermeasures and Follow-up.
- 4Add implementation tasks: what, start date, PIC, due date, priority and reason.
- 5Save as draft at any time. Drafts are private to you.
- 6Click Submit. The report gets a reference such as A3-014 and the GM is notified.
Track tasks and ask for more time
My tasks lists every task from your submitted reports. A report shows its worst task status, for example Overdue (1/5).
| Status | Meaning |
|---|---|
| Pending | Start date or due date not set yet |
| In Progress | Dates set, not done, due date not passed |
| Overdue | Due date has passed and the task isn't done |
| Completed | You marked it done |
To ask for more time, click Extend on the task, choose the new due date and write the reason. The GM approves or declines, and you get an e-mail with the decision.
Open a report to see the A3 sheet, the schedule chart, tasks and history. Export Excel downloads it in the original template. Turn e-mails on or off in Settings → E-mail notifications.
For the GM
| Page | What it shows |
|---|---|
| Overview | Portfolio, tasks due this week, items needing attention |
| Reports | All reports with status filters; open, edit or delete any report |
| Tasks | Every task across every report |

| Analytics | Charts, including the submission trend |
| Staff | Staff using A3 and their reports |
| Activity log | Who did what on which report |
The GM is e-mailed when a report is submitted or an extension is requested, plus a weekday 08:00 summary of overdue tasks and pending extensions.
APEX
Aduan Penambahbaikan Employee Experience. Every employee can raise a complaint, feedback or a suggestion and send it to the right department, which reviews and resolves it. The Wall lets employees post and reply anonymously. Every verified Portal user gets APEX automatically as an Employee.
What each role can do

|---|---|---|---|
| Submit, follow, reply to and reopen own tickets | Yes | Yes | Yes |
| Wall: post, reply, react, report | Yes | Yes | Yes |
| Review tickets for own verified department | – | Yes | Yes |
| Review every department; company-wide statistics | – | – | Yes |

- 3Write the subject, description and location. Attach up to 5 photos or PDF files (5 MB each).
- 4Review and submit. You get a reference such as APX-1002.
My tickets shows your tickets. If the reviewer needs more information, a banner says needs your reply.
| Status | Meaning |
|---|---|
| Submitted | Waiting for the department to start |
| Under review | A reviewer is looking at it |
| Pending information | The reviewer needs a reply from you |

| Resolved | The department says it's fixed. You can reopen it if not. |
| Closed | Final. A closed ticket can't be changed. |
The Wall
Post up to 400 characters, reply, react, and report posts that break the rules. Your name is never shown: in each thread you appear as a numbered nickname.
For Reviewers and HRA Admins
Open Review queue (awaiting, in progress, pending, resolved). On a ticket, use the action buttons — start review, request information, mark in progress, resolve, close — and message the employee in the conversation. Reviewers only see tickets for their own verified department.
HRA Admins see every department, can reassign a ticket (reason required), and manage Admin → Moderation, Categories and QR.
Room Booking
Live status for every room, and booking without double bookings. Bookings run from 30 minutes to 10 hours, between 08:00 and 18:00, up to 60 days ahead (admins can change these rules).
Room status
| Status | Meaning |
|---|---|
| Available | Free now |
| Occupied | A booking is in progress |
| Ending Soon | The current booking ends shortly |
| Reserved | Booked later today |
| Unavailable | Blocked by an admin, or the room is inactive |
Everyone can see every room's schedule. A private booking shows as “Private Meeting”: its purpose, notes and attendees are visible only to the organiser and admins.
Book a room
- 1Click Book a Room in the menu.
- 2Choose the date and time.
- 3Choose a room from the live availability list.
- 4Enter the title and purpose, number of attendees, notes and the department(s) — one, several, or All departments. Tick Private if needed.
- 5Review and confirm. You get a reference such as LSB-2026-0216 and a confirmation e-mail.
My Bookings lists upcoming, completed and cancelled bookings; you can edit or cancel upcoming ones. You get a reminder e-mail 1 hour before.
For Administrators
| Admin page | What you can do |
|---|---|
| Room Management | Add or edit rooms and photos, block a room for a period, deactivate a room |
| Booking Management | Search all bookings, export to CSV, cancel any booking |
| Reports | Utilisation, peak hours, by department and by room; print to PDF |
| Settings → Booking rules | Booking length, opening hours, how far ahead people can book |
For Portal admins
Portal admins see an Admin link after signing in. Admin pages also ask for a 6-digit code from an authenticator app (Google Authenticator, Microsoft Authenticator or similar); the first visit shows a QR code to scan. If you lose your phone, contact PSG IT at lyko@lamsoon.com.my.
Admin pages
| Page | What you can do |
|---|---|
| Dashboard | Requests waiting, unverified departments, other items needing attention |
| Users | Verify departments, correct Employee Numbers, manage each system's access and roles, activate or deactivate accounts |
| Access Requests | Approve with the role(s) to assign, or reject |
| Departments | Add, rename, activate or deactivate departments used by every system |
| Systems | The systems on the platform and their roles |
| Audit Log | Every admin action: who, what, to whom, when and why |
Give someone access to a system
- 1Go to Admin → Access Requests and click Approve on their request.
- 2Tick the role(s) they need — for Room Booking, Staff, or Administrator for room managers.
- 3Confirm. Ask the person to refresh the Portal home page; the card now shows Open System.
To make someone the A3 GM, an APEX Reviewer or an HRA Admin, open the user and assign the role under that system. APEX Reviewers only see their verified department's tickets, so verify the department too. When someone leaves, set their account to inactive — all their access stops at once.
